Reports not displaying

When you have downloaded the crystal report viewer and try to view reports you may find that driver and vehicle reports are not displayed – a blank white page appears.

Inconsistencies with reports

 

If you compare a Driver Activity Summary and a Driver Activity Protocol the total shift time and D+W+A seem to add Monday's times in twice on the Summary report.

Continental are aware of this error which will be corrected in the next release of the program over the next 1 to 2 months.

Viewing the speed of a digital vehicle on a particular date

If you wish to see the speed of a digital vehicle on a particular date follow the steps outlined here.


Change of Invoicing

Until recently we have shown running totals of the analysis of charts and digital data.

 

This has involved the taking of end of month totals for all of our accounts.

 

Continental now provide us with a chart and archive breakdown for all accounts each month and we shall simply use these totals for invoicing which will save us a great deal of time having to check each account every month.

 

It will mean, however that there will be no running total, simply the number of analogue charts, digital charts and archives added, as provide by Continental.


 

Centrefield offences

Drivers must enter their full Christian name and locations, not not abbreviations.

If we indicate centrefield offences they can be corrected by altering the entry on the charts.


 

E  04  Driving without an appropriate card.
 

If you see this fault on the driver letter, it is usually due to the driver card being faulty.


06/11 Price increases

 

Due to increased costs to ourselves there will be a price increase of 2p per chart for all analysis from 01/12/08(Suspended for the moment)


 

Times not showing up in RTD reports

A driver has working days for 02 - 05/06/2008 which do not show up when running an RTD report.


This person is a driver who worked in the warehouse for this particular week.  His working times were entered in the Driver Planner and they show as working days in the summary and in the events, but not in RTD reports.

I have now been told that there is not a patch to fix this issue as it is the way in which TISWeb software works. To overcome this issue, you would need to add a manual chart using working time activity.

What is the point of putting a facility into the driver planner where you can enter times if it does not show up in the RTD reports, which is after all, the reason for putting the times into the planner.

Double manned vehicles

Where a vehicle is double manned, the driver in the passenger seat, when the vehicle is in motion, must record his duty on box. - IT IS NOT A BREAK.  Even if you are lying on the bunk.

 

Driving vehicles not covered by the regulations i.e pickup, van etc.

A driver shall record as other work any time spent driving a vehicle used for commercial operations not falling within the scope of this Regulation, and shall record any periods of availability, as defined in Article 15(3)(c) of Regulation (EEC) No 3821/85, since his last daily or weekly rest period. This record shall be entered either manually on a record sheet, a printout or by use of manual input facilities on recording equipment.

You cannot simply write 'driving pickup' on a chart.  You have to record the duty as Other Work or POA as defined above.

Downloading driver cards

You must download all drivers cards with 28 days of the previous download , even if the driver has not used the card in your employ.

He/She could have used the card to drive for another employer.

 

Two drivers with the same name.

The reason clients are seeing two drivers with the same name is because they are not ensuring that the name in their account corresponds exactly with the name on the driver card before they download that card.

It will take you a long time to combine the two if you do not do this.

 

Many Clients are still not archiving their data.

You will not be able to do access digital data for VOSA if you have not archived your data.

 

Centrefield Omissions

Any centrefield offences can be corrected on the charts.

 


 

Chart Overlap

 

Where you have conflicts due to chart overlaps similar to the one below it means that the software is trying to insert a duplicate of a chart already on the system.

Simply select to delete the offending chart.

 


 

Data storage

 

Data is stored on the system for 13 months.

 

If you are using the software to store and calculate your working time records you should print off RTD and Driver Activity Protocol reports which should be stored for 2 years after your period (i.e if you are using a 26 week period reports should be stored for 30 months, 17 weeks for 28 months.)


Forgotten Passwords

 

It is the responsibility of the client to inform us of any change of password.  We are finding that clients change their password and then forget what they have changed it to.

 

Where we are required to have the password reset in these circumstances a charge will be imposed.

  • Although we will provide help with initial set-up we will not provide free in depth training over the telephone in the use of the download equipment and software.  In the past certain clients have wasted a great deal of our time explaining things that can be found in our Help Section and Client Updates.

  • Telephone help in these circumstances will be charged at £1.50 per hour or you may wish to book a Training session.

  • We cannot be expected to provide free tuition on the legislation and the operation of the software in relation to this.  Where there is a genuine discrepancy we will take all steps to rectify this.  If you do not understand how to use the software or the legislation, which we accept is very complicated, then you should arrange a Training session..

  • Where we are required to examine data that is correct and due to a clients mis-understanding of the regulations then we will implement a charge for the time involved.

Q. I downloaded a truck last week and then transferred it to the site. This information has cleared itself from the key…should it be doing this?

 

R. The key will be clearing itself if the following is set:

Far to many drivers are not using the correct mode.  We do not know what a drivers activities are and can only accept what is on the chart.

You must properly instruct the driver on the use of the mode switch.

Basically it is:

 

Crossed Hammers - Working

Box - Passive work - awaiting to be called to restart working where you are not free to dispose of your own time.

Bed - Breaks and Rest.

 

You can no longer use Box to record anything other than driving, break or rest.

Far too many drivers are not using crossed hammers.

Driver Card data corruption.

 

It is thought that by keeping drivers cards alongside debit and credit cards in your wallet that they are being corrupted by the magnetic strips on these cards.

Try to keep drivers cards and credit/debit cards separately.

The Days to Act column indicates the number of days a file will remain buffered for import on the TIS-Web server. If there are files with a conflict, these conflicts must be resolved and archived by the time this period has expired

( 30 DAYS ).

 

If the retention period has expired, TIS-Web deletes the file from the temporary database storage area without saving the data to the TIS-Web database.

 

IF THIS HAPPENS:

  • THE DATA WILL BE LOST,

  • YOU WILL NOT BE ABLE TO PRODUCE THE DATA SHOULD VOSA REQUIRE IT.

  • YOU WILL COMMIT AN OFFENCE DESPITE ANYTHING ELSE THAT MAY BE FOUND.

Format Error

When downloading driver cards and vehicle units, if you see Format Error download them again.


Digital vehicle/drivers - deleting

With digital vehicle and drivers you cannot simply delete them via My Fleet.

You need to go into Tis-Web Archive.

Select either Driver Card Archive or Vehicle Unit Archive.

Select retrieval and retrieve all of the data for the driver or vehicle that you wish to delete.  When you are asked, following retrieval, if you wish to delete the data select yes and this will then delete all of the driver or vehicle data from your account.

Go back into Tis-Web Evaluation and delete the driver/vehicle.  If it still does not delete it means that you still have data in you account.  Go back into Tis-Web Archive and repeat the above steps.

Weekly rest reporting.

The following question was sent to Siemens and their reply is given below.

Q. A problem has arisen where the software is saying that there is a failure to take a single full weekly rest in two consecutive fixed weeks, when infact more than enough weekly rest was taken

R. This is a known issue and is being addressed by our Software Development team. If you run the Infringement report again with a different reporting period, say 17-12-07 to 31-01-08, the I61 infringement is not reported. For the moment, if a Weekly Rest Infringement is reported, please run the report again with a different (longer) reporting period to confirm whether the infringement is genuine.

Error message when logging in

If you see the following error message when you login you have typed something wrong in one or more of the boxes.  If you do this 3 times you will be locked out of your account, on the computer that you are using, for 30 minutes.

If you see this message when you first login clear all of the data out of the three boxes and re-enter it.


Links not displaying in the blue left hand border

When accessing accounts using Internet Explorer (The blue E) the links in the left hand blue border may display and then disappear especially when using Internet Explorer 7.

 

Try the following to rectify this

  • Press F5 to refresh the page

  • If this does not work install IE version 6.

Calculation of Cumulative Driving - Question to Siemnes

I have been asked by the client who, when he runs a reports for October for Driver A that the cumulative driving period, for example 01/10 starts at 07.14 and yet the driver does not start driving until 07.20.  From 07.17 to 07.20 the driver was on crossed hammers.  The same is the case for 30/10.  Why does the cumulative driving period not start when the driver first starts driving?

I have looked at this and currently, this is how the 45 min Break infringement is reported. From a rest break, the software goes back to look for a valid break period (45 mins) and if it doesn't find sufficient break, and the 4.5 hrs Driving has been exceeded, then the whole block is reported as a "cumulative" driving period.


Odometer readings not showing

We download the vehicle unit weekly and the latest file is showing in the download manager as processed on 27/12/07. The mileage is still not showing for the drivers from the 18/12/07 until 27/12/07

 Currently the latest release does not pick up the Odometer readings unless it is driven without a driver card inserted, we are currently awaiting a fix for this.

Blank reports

Email to Siemens

When we run a report for a driver in the account (withheld), for 30/10/07 to 30/11/07, the report says your tachograph charts have been examined and the following problems have been found, but it does not list any infringements.

 

Reply

The reason for this is that the Driver has probably got an Exception (say Driving period extended from 9 to 11 hrs), but the Exceptions are not being printed on the reports and hence you get a blank report. This issue has been reported to our development team for further investigation.


Movements without a drivers card.

Question to Siemens

I am getting a lot of questions regarding movements without a driver card.

 
For example a driver puts the vehicle onto a loading bay, without using a card.  This takes 3 minutes the vehicle is left there for 15 minutes and then is driven off, again taking 3 minutes.
 
Will this just be one journey without a card or two?
 
How does the software separate the journey's?
 
Is it from when the ignition is switched on to when it is switched off, which determines that as being one journey?

Reply

All the driving without a Driver card will be flagged up when the file is processed on TIS Web. In this case, 2 separate "Driving without driver card" instances will be reported as Conflicts in the Import Wizard, and not a Trip as you suggest. The 15 minutes between the two driving periods is ignored. This driving will then have to be allocated to a driver when resolving the Conflicts.

Comment

As you can see it is the actual driving that results in the 'driving without a driver card'


Server errors - Clients with old and new accounts.

Since the latest upgrade you are unable to run different versions of the software on the same computer.  What you need to do is delete the file C:/VKISClnt and sign into the account again.  You need to make sure that you do not have any browser windows open, when you delete this file and once you have deleted the file remove it from the re-cycle bin.
 
This will re-install the software.
 
If you switch between different versions you will need to repeat this operation.

Odometer readings not showing when Driver Card downloaded

Question to Siemens

I am getting a number of clients who have downloaded drivers cards and the odometer readings are blank.

Reply

The odometer readings are now sourced from the vehicle unit files (Download Key) and not the Driver cards. You will have to download the vehicle unit files to access the odometer readings for the vehicle reports. The reason for this is that the readings from the Driver Cards sometimes give erroneous readings which result in incorrect average speed data.

The Working Time Directive - procedures and record keeping.

You will need to follow these simple procedures to enable you to conform to the WTD, using this system only.  Without the need to keep reams of paperwork, for 2 years or more.


Conflict shows chart overlap - advice from Siemens

The chart overlap conflict issue (doesn't let you resolve the conflict) will get resolved by upgrading the TISWeb software to v2.0 P1, which is scheduled for late October 2007.

However, please keep archiving the data off this card using the TISWeb Archive service as the archived data can always be retrieved and then processed again once the servers have been upgraded.

SELF ANALYSIS

We are now invoiced by Siemens on a charge per chart analysed basis.  They send out invoices each month detailing the number of analogue charts analysed and the numbers of digital driver cards analysed for each company.

We will now invoice customers based on the data supplied by Siemens.  This will be a much more accurate way of invoicing self analysis customers based on the number of charts analysed rather that a flat fee of £2.80 per driver per month.

There has also been a slight increase in costs the details of which are listed below.

Analogue charts - 38 pence

Digital driver card analysis- 19 pence

Archiving - 50 pence per download

Self analysis 15 pence per chart

Links not displaying in the blue left hand border

When accessing the my-fis site using Internet Explorer (The blue E) the following error may be displayed, especially when using Internet Explorer 7 and the links will not be displayed in the blue left-hand border.

Also try restoring the browser settings by going to tools>Internet options which brings up the following screen.  Simply reset Internet Explorer settings.

Server Error ffffff9c

We are still experiencing this problem with a small number of clients when trying to save analogue chart data.  Siemens are going to release a new version of the software which hopefully will fix this and other problems.

In the meantime if you experience trouble saving analogue data let us know.  Siemens will assign a dummy driver card to the driver(s) concerned which in the short time will enable you to analyse charts.  Once the driver has his own digital card this can be added and the dummy card removed.  The card does not contain any information and cannot be used as a digital card.

Conflict Chart overlap

With some of the most recent driver card downloads conflicts are appearing which show a card overlap for every day.  This again is a software error.

1. Click on Conflict (chart overlap) which should bring up 2 identical chart traces.  Simply select ignore data from the offending chart and click OK at the top of the page.  This will remove the second chart.  Do this with all of the days where you are told that there is a chart overlap.

2.  If when you click on the Conflict (chart overlap) link you are taken back to the same page, leave the data in the import wizard, but go to the Archive section and archive this data.

Once the software fix is implemented these files should be processed.

Combined analogue and digital self analysis

Due to difficulties in determining the amount of analogue charts analysed and digital data downloaded, until further notice there will be a flat charge of £0.14 pence per chart as opposed to £0.14 for analogue and £0.19 for digital.

This is now superseded by the entry of 14/09/2007

Server Error when trying to add charts

Some clients are experiencing server errors when they try to analyse charts, which prevents the charts from being saved.

A possible fix is to delete the file below from you computer and re-install the software.  This will occur automatically when you next sign in.

Chart Overlap.

Where clients are getting chart overlaps with digital analysis it may be due to the fact that a driver has driven a vehicle with an analogue tachograph and one with a digital tachograph and has either left his card or chart in the first vehicle, driven the second vehicle and then returned to the first vehicle.

This can only be resolved by deleting and re-entering some of the data, or ignoring the offending chart.  For more details give us a call.

Filtering out journeys without a card

New added functionality within TIS-Web 1.3 gives you the option to filter out journeys lasting less than a pre-determined interval.
The system default is 10mins, however by clicking on Options, then clicking on Import Wizard, Vehicle Unit, change the ‘Ignore Driving Activities Without Driver Card less than or equal to’ option to a time that would fit in with your operational needs to alleviate future TIS-Web conflicts.

Unknown drivers added automatically

Any unknown drivers encountered during the Import Wizard phase can now be processed automatically by the system.
Go to Options, Import Wizard, Driver Card.
Under the ‘Update master driver data’ section, choose which site unknown drivers should be added to. The site list will be exactly the same as your global site list that can be viewed and amended from the ‘My Fleet’ option within TIS-Web

Unknown vehicles added automatically

Any unknown vehicles encountered during the Import Wizard phase can now be processed automatically by the system.
Go to Options, Import Wizard, Vehicle Unit. Under the ‘Add Unknown Vehicles to Default site’ section, choose which site unknown vehicles should be added to. The site list will be exactly the same as your global site list that can be viewed and amended from the ‘My Fleet’ option within TIS-Web.

Digital Archiving

Following a meeting with VOSA on this date it is imperative that clients downloading digital data from drivers cards and vehicle units, archive this data which will be in the format required by VOSA.

YOU NEED TO ARCHIVE YOUR DRIVER AND VEHICLE DATA IN ORDER FOR IT TO BE IN THE FORMAT REQUIRED BY VOSA.  THIS CAN THEN BE BURNED TO A CD OR EMAILED TO VOSA FOR THEIR EXAMINATION.

In order to do this you must have TISWEB Archive when you log into your account, as well as TISWEB Evaluation.  If you do not have this facility please contact us.

Conflicts lapsing

Users have 30 days to resolve conflicts before the conflicts end up in a "lapsed" state. Eventually, the lapsed conflicts will be removed from the server BUT this service has not been enabled yet, hence users are still able to resolve the conflicts that are in a "lapsed" state.

Report Selection - New Legislation.

Because of the new legislation introduced on the 11th of April this year you will have to select under which legislation you wish to prepare reports.

This selection can be made by going to Options>Hours Law Setup.

To run reports prior to 11/04/07 the selection should be EEC Council Regulation No. 3820/85.

For reports from the 12/04/07 the selection should be EEC Council Regulation No. 561/2006.

This is also the case if you see the following error message.

It is recommended that analysis of driver activity under Working Time Directive is switched on.  It is currently switched off.

Data not appearing after cards or vehicles are downloaded

Try entering the following as the finish date for the drivers and download the cards again if the data does not appear.  Also check the import wizard for conflicts.

Runtime error 91- object variable or block variable

Firstly make sure that you have enabled all of the settings in Internet Explorer outlined in the help section.  Then try the following.

Norton Anti virus installed.

If you have Norton anti virus installed use the help section for all of the setting for internet explorer and also with Internet Explorer go to Tools>Manage Add-ons>Enable or Disable Add-ons>

Inside the enabled box look for Norton Confidential Browser and disable this

Possible fix for Runtime 91

Below is a possible fix for the above error which may result in the links not being displayed in the blue border on the right hand side of your account.

I am not a software expert and will not be able to give advice on this fix or be responsible for the consequences of installing it.  You should consult your IT person before using this fix.

  • VOSA require that the raw data files be available to be examined and viewed.  
  • TIS-Web Archive enables you to provide copies of the driver card/vehicle files for examination by VOSA
  • Once you start to archive digital driver/vehicle data you will be charged just 55 pence per download.

By subscribing to both packages you are complying with.

It is apparent that there are many more than 5 charts being downloaded per week.  Being a new system the charges were based on this number.  With the increased charges from Siemens it is impossible to maintain the charge at £2.80 per driver per month.

All digital only accounts will be now be charged at 19 pence per chart.

COMBINED ANALOGUE AND DIGITAL ANALYSIS

It is proving extremely difficult to determine how many digital and analogue charts have been analysed.  For this reason where clients are analysising analogue and digital data there will be a single chart of 17 pence per chart.

ANALOGUE ONLY ANALYSIS

Analogue only analysis will remain at £2.80 per driver per month.

Self Analysis - Server Error ffffff9c - TISWEB Accounts

 

A problem has been identified with TISWEB accounts which are analysing analogue charts as well.  For some reason you are only being allowed to analysed 3 or 4 charts before the above error code comes up and you have to come out of the system and go back in again before you can analyse more charts.

 

There is a solution - not a very good one - that can be employed until the program is fixed. 

 

If you have a driver's card which has not been allocated to a driver, for example the transport manager, office staff, etc.

  • Allocate this to the driver you are trying to analyse and you will be allowed to analyse charts.

  • Once you have finished remove the card from the driver and allocate it to the next driver.

This measure is by no means satisfactory and hopefully it will not be too long before it is sorted.

 

The error does not occur with MY-FIS accounts.

Due to price increases imposed by Siemens we are forced to increase our charges from the 16th of January 2007.  These will now be:

  • Postal analysis of analogue charts - an increase of 2 pence per chart.

  • Digital analysis - 18 pence per chart.  (The cost is due to the amount of data stored in respect of a digital downloads compared to analogue data.)

  • Analogue self analysis will now be charged at £2.80 per month

TELEPHONE HELP


Owing to the increasing number of telephone calls from clients requiring help with both analogue and digital analysis, which is taking up a large amount of time, leaving very little for anything else, it will no longer be possible to offer this service free of charge,

 

Whilst it is appreciated that clients require help with the new technology, telephone help will continue, but there will now be a charge of £0.50 pence per minute from Monday 18th of December 2006.  This will include all calls involving help with the software, drivers cards and vehicle downloads, interpretation of reports and help with the legislation. 

 

(Siemens helpline charges are £1.50 per minute and calls are restricted to 10 minutes)

 

We have one of the most comprehensive help sections on the Internet, which is updated on a regular basis, where the vast majority of answers to clients questions can be found, without the need for a telephone call.

Format errors

If you receive a message that there is a format error when trying to download data from the vehicle unit try the following:-

  • Go into your account>Options>Download>Transfer data and change the File suffix under Vehicle Unit to all users.

Storing Driver Card Information onto the Siemens Download Key.

 

You can store the data from the drivers card onto the Siemens Download key by following the instructions below.

  1. Insert the driver's card into slot 1 of the digital tachograph and allow the card to be registered.

  2. Insert the company card into slot 2 of the digital tachograph and allow the card to be registered.

  3. Insert the download key into the tachograph and download the data onto the key.

Once you have done this you can check that the driver's card data has been stored by plugging the download key into your computer. Go to My Computer and click on the drive containing the download key to view the files stored where you should see a file which starts with C_and ends with DD, which should contain the drivers information from his card.

 

*You cannot download the drivers data from the Vehicle Unit.  If you do not download from the driver's card into your account or onto another storage device i.e. Download key/Stoneridge download tool,  you will lose it.*

Display problems

When accessing the my-fis site using Internet Explorer (The blue E) the following error may be displayed, especially when using Internet Explorer 7 and the links will not be displayed in the blue left-hand border.

If this occurs try logging in through Google or other search engine using

www.my-fis.co.uk.

 

Also try restoring the browser settings by going to tools>Internet options which brings up the following screen.  Simply reset Internet Explorer settings.

Transferring data from the Stoneridge download tool to the memory stick

 

Q.  How is the data transferred from the download tool to the memory stick?
R.  To download the data onto a memory stick you will need to connect the memory stick to the Download Tool and tap the power button.  This will only work if you have the most recent firmware on the Download tool.  If this does not work please contact us.

Download Error Code 12

Q. When a client tries to download data from a Siemens tachograph, using the download key, the download commences but after a short time the following message comes up:
 
 'Download Error Code 12 '
 
Do you know what this means and how to rectify it.

R. This is a power interrupt code.

When the download key is inserted into the tachograph it requires power which it takes from the tachograph itself.
The tachograph detects this and shows error code 12.
All you need to do is ignore and wait until both lights go green on download key.

This can take up to 30 minutes

Conflicts - Digital Analysis

These can be:

  1. Journeys made without a drivers card.

  2. Drivers/vehicles which have not been logged onto the system.

You must check these conflicts and resolve them. 

  • If they are, for example, short journeys which have been made by shunters then you can delete them.  They are still stored in the vehicle unit if VOSA wish to view them.

  • If however they cover 100's of kilometres you must find the driver who used the vehicle and assign the journey to him.

  • You must also check that there are no journeys made without a card inserted when the vehicle is away from base.  For example where a driver may use the vehicle to go for a meal etc.  These cannot be deleted and must be assigned to the driver.  This of course could mean that the driver will not have a daily rest.

Postal Clients/digital analysis

 

All digital analysis will be charged at 12 pence per entry.  Because invoices are processed at all times during a month it is difficult to keep track of digital downloads on a monthly basis, as it is with self analysis clients.  The price charged will still average at £2.60 per month.

Downloading Digital driver data

 

It is imperative that you check all of your drivers names before downloading digital data into your account, to ensure that they correspond with the name on their drivers card.

 

For example if your drivers name is logged in your account as Jimmy Jones but his drivers card is registered in his correct name James Edward Jones, then you must modify the existing name before downloading the card/vehicle data.

 

If you do not, a new drivers name - James Edward Jones will be added to the list which will store the digital data and analogue data separately.

 

To modify names

  • Go to your account.

  • Click on My Fleet.

  • Select Driver Maintenance.

  • Click on the driver that you wish to modify and click the modify button.

  • Change the details and press enter and then update.

Self Analysis - Server Error ffffff9c

 

The above server error is sometimes displayed after a chart has been analysed when trying to save the details.  I have contacted Siemens and the following is there reply.

 

'I have been informed that the error that you are experiencing is due the lost server connection. This typically appears when you are entering a chart, go away for more than 15 minutes (by which case the non-activity will cause the connection to be lost) and when you then complete the chart entry then save, because the connection is lost, you will get the error message. The advice given was to log out completely, log back in and re-key the chart and save, this should help.

Give this a go; hopefully this should resolve the problem.'

Code changes

The latest release of the analysis program has brought a change with some of the codes that we use to indicate breaches of the legislation.  This means that when reports are run in the future, for the older charts, the wrong offence will be shown.  All new charts added will show the correct offence.

 

We will use the new codes for all accounts for charts analysed from 01 NOVEMBER 2006.

 

You will need to use the following conversion table to see what the correct offence should be.
